What is needed

The contractor company does not need to have its own website. Multilinks is structured to provide all the electronic environment needed, using Secure SSL certificate issued by Thawte Consultings Lt., with full authentication and encrypted pages.

An electronic election is characterized by documents related to the process, such as:

  • Edital;
  • Schedule (process and operational);
  • Instructions and/or regulations for the election;
  • Electoral commission members and/or canvass board members;
  • CVs of all candidates;
  • Model document for registration;
  • Model curriculum to be released;
  • Other specific documents.

  • details of the requesting company (name, address, area code and phone number(s), contact person, email and website address);
  • number of board's seats that will be renewed (number of effectives and alternates);
  • number of voters;
  • approximate date that the new directors will take office (so the schedule can be set);
  • if possible, the date that the edital will be published, starting with this act, all the electoral process;
  • the modality of election: strictly electronic process (internet and/or telephone) or in conjunction with traditional voting methods like mail and company's interoffice mail. Usually, the choosen option is the hybrid modality, in order to encourage the participation of voters that do not have how to access internet or, simply want to use the traditional method, with a physical ballot.
  • if there is an intention to hire an external auditing firm to monitor the electoral process, that result in additional activities for Multilinks. The choice and eventual hiring of an audit firm is in charge of the contractor company. See in Security Issues some auditing firms we have already worked with;
  • any additional details deemed important to the electoral process (i.e.: if assistance is needed to count the votes from mail and/or company's interoffice mail, using barcode software developed by Multilinks);
  • if available, a first draft of electoral rules, that may clarify remaining questions.

Once all necessary details are defined and the contract is signed, electronic pages are developed and published in our secure environment (according to the company's website, if there is one) and the system programming is customized to the contractor company's needs.

As aditional support services, Multilinks can generate all necessary documents models (as: address envelope, return envelope, instructions letter, etc.), customize and print all kit's itens, assemble and post the voter's information kits. Multilinks also advises on the preparation of documents for the election (rules, candidate registration models, needed declarations, candidate model CV, etc.) and may act on manual counting of votes in hybrid cases (internet/mail), including the option of processing the votes received by mail with a specially developed barcode software, which shortens counting time and adds security to the verification.

In addition, Multilinks may contribute with suggestions about the adequacy of the election's rules and other informations, based on the solid experience gained in similar cases previously implemented.

The electoral process ends with the issuance of reports demonstrating detailed results of the electronic process and they are published on the Internet, with explanatory graphics and voters' percentage of participation.
